General Purpose:
Responsible for ensuring adequate and appropriate staffing of the facility nursing department to meet the needs of the residents and comply with state and federal regulations.

Qualifications:

  • Preferred high school graduate or equivalent.
  • Must be a Certified Nursing Assistant in good standing with licensure boards and proficient in performing job duties and skills of a Certified Nursing Assistant.
  • Maintain a professional appearance.
  • Must have excellent follow-through.
  • Must have the ability to read, write and follow oral and written directions at a level necessary to accomplish the job.
  • Detail-oriented with strong organization and prioritization skills.
  • Must have knowledge of computer systems, systems applications, and other office equipment.
  • Must be able to meet all local health regulations, and pass pre/post-employment physical exams if required. This requirement also includes drug screening, criminal background investigation, and reference inquiry.
  • Must have the ability to promote positive interpersonal relationships through the use of tactful, direct and sensitive interaction. Must be able to communicate verbally in a positive and professional manner.
  • Must be able to relate positively and favorably to residents, families, co-workers, vendors, and to work cooperatively with others.
  • Must comply with attendance policy and established nursing staff schedules, be flexible, and make necessary accommodations for the needs of residents and families.
  • Must attend in-service/education programs as required to learn new procedures and develop skills to meet regulatory compliance.
  • Must agree not to disclose resident protected health information and report suspected or known violations of such to the Administrator.

Duties and Responsibilities:

  1. Maintain a current and accurate list of all nursing department employees with phone numbers (home and cell).
  2. Record employee tardiness, leave early occurrences, and absences daily.
  3. Routinely report employee violations of the attendance policy to the Director of Nursing.
  4. Assist with accurate record-keeping of employee attendance for annual performance evaluations.
  5. Coordinate with Human Resources and the Director of Nursing to schedule employees on modified duty.
  6. Construct and complete the nursing schedule monthly. Post the completed schedule and any revisions in advance. Incorporate employee requests and make every effort to accommodate these requests without creating insufficient staffing.
  7. Adhere to the established system for employee schedule requests and communicate with employees when requests are denied or need to be modified. Honor reasonable and timely requests for employee time-off. Will track and approve requests fairly and consistently.
  8. Assist Human Resources/Payroll with missing punch forms.
  9. Construct and maintain a cancellation log and a float log to ensure staff are equally cancelled and floated to other units fairly.
  10. Make every effort to utilize Part-Time or PRN staff to prevent unnecessary overtime.
  11. Complete daily staffing sheets (all forms as assigned) and post in the designated location.
  12. Complete the AHCA 2-week staffing report and update daily with submission to the DON and Administrator weekly, as required.
  13. Maintain orderly copies of the staffing sheets, daily schedules, monthly schedules, and any other documents per policy.
  14. Makes every effort to assist the nursing team to cover vacancies planned and unplanned.
  15. Obtain approval for agency use from the Administrator prior to scheduling.
  16. Assist employees with completion of required forms for PTO use, vacation, sick time, etc. as needed.
  17. Prepare, post, and update a “Needs List’ weekly outlining vacancies (overtime opportunities) in the nursing department.
  18. Will not engage in preferential treatment to any employee.
  19. Will calculate staffing PPD’s daily to ensure regulatory compliance. Make every effort to maintain staffing PPD’s at no lower than the state minimum requirements for PPD and ratios as follows (if you suspect that staffing will fall below the minimum requirements listed below you must notify the DON/ADON/NHA immediately):
    • CNA’s PPD of 2.50/day
    • Licensed Nurses PPD of 1.0/day
    • RN-8 hours every day
    • CNA ratio of no more than 1:20 residents
    • Licensed Nurse ratio of no more than 1:40 residents
  20. Will calculate a projected PPD for the weekends and convey, in advance to the Director of Nursing.
  21. Answer employee phone calls regarding staffing/scheduling functions and adhere to facility policy for PTO use, vacations, sick time, holidays, etc.
  22. Assist with scheduling and interviewing CNA candidates for hire.
  23. Review complaints and grievances regarding staffing with Human Resources and/or the Director of Nursing.
  24. Maintain employee confidentiality regarding schedule variances, attendance, and health-related issues that you may be privy to.
  25. Provide new nursing departments employees with a schedule and designate the employee(s) they will be training with. Included on the schedule required classroom orientation.
  26. Help answer all resident call lights as needed.
  27. Help with the dining process for all residents as requested.
  28. Assist residents with standard ADL’s (Activities of Daily Living) to include: bathing, toileting/bed pan, transfers, bed mobility, turning and repositioning, peri-care, grooming, dressing, changing bed linens, applying/utilizing specialized equipment, etc. per the individualized plan of care.
  29. Use proper body mechanics when lifting.
  30. Adhere to safety policies pertaining to infection control and isolation, personal protective equipment (PPE), gait belts, mechanical lifts, and fire/emergency procedures.
  31. Customer Service-Promote and maintain positive relationships with co-workers, residents, visitors, volunteers, vendors, and regulatory representatives.
  32. Resident Rights-Understand and promote resident rights. Have positive interactions with residents, families and caregivers. Maintain a professional appearance. Ensure confidentiality of all resident information, compliance with HIPAA regulations and policies, Encourage resident autonomy in decision-making.
  33. Documentation-Complete documentation in the individual clinical record per policy. Complete any other documentation as assigned.
  34. Other-Complete all other duties as assigned.

Physical and Sensory Requirements: Walking, sitting, standing, reaching, stooping, bending, lifting, grasping, pushing and pulling, and fine-hand coordination. Ability to hear and respond to overhead pages. Ability to communicate with residents, families, personnel, vendors, and consultants. Ability to apply training and in-service education provided. Must present a neat, clean, professional appearance and demonstrate a positive approach with employees and residents.
